1. Booking and Payment
1.1 To book a place for your child(ren) please register them and follow the booking procedure on this site, please ensure that all areas of the form are completed.
1.2 We currently accept payment through stripe, bank transfer and cash, payment must be made during the booking process. Should you wish to pay via payment plan, please contact us directly to discuss. We require payment to have cleared before the booked sessions commence, or for a payment plan to have been set up. We cannot guarantee a place for a participant until booking and payment has been completed.
1.3 Following ratio guidelines is a key part of our service to you. If we are at capacity, we are sorry, but we will not be able to accept any further bookings. We do however have a waiting list that you register on.
1.4 All personal details provided to L. W. T are stored and used in compliance with GDPR.
1.5 Should you wish to make a change to your booking, please contact us as soon as possible. We will make every effort to accommodate your need for change but please be aware, any administrative changes will occur a charge of £5.00.
2. Cancellation and Refunds
2. 1 L.W.T have a no refund policy, however, if you contact us within 24 hours of your missed booking, we will credit for a future session. Please note this is only applicable to Holiday Camps, not to After School Clubs.
2.2 If it becomes necessary for us to cancel, due to staff sickness, meaning we cannot adhere to staff:child ratio, we will issue a full refund.
2.3 In a case where we have to cancel due to incidents outside of our control, including but not limited to, lack of power, water, civil unrest, inability to access the building, severe weather conditions or other events, we do not issue refunds but will try our best to offer an alternative session.
3. Attendance
3.1 If your child is sick, we are unable to process a refund due to pre planning of our camp and the knock on effects. Please ensure you contact us via email or phone to advise us of your child's absence. Where possible we will assign the child another day to attend.
3.2 Parents are asked to ensure their child is dropped off and collected promptly. Due to safeguarding, we will not be able to leave the premisis open for late drop offs, should your child be running late, please make us aware of your intended arrival time so we can arrange collection. Late collection will result in a charge of £5.00 per 15 minutes to cover additional staffing costs. If we have no collection from a guardian 1 hour after their session was due to end, we will look to contact social services to advise them of an uncollected child.
4. Behaviour and Discipline
4.1 We expect all of our participants to treat their peers and coaches with respect and kindness. We do not tolerate bullying, be it verbal or physical, nor direct or indirect discrimination, harassment or victimisation relating to gender, disability, age, pregnancy, sexual orientation, race or religion.
4.2 Any behaviour relating to the above will result in a one time warning and a report to the participants parent / carer, should a second incident occur, within any time frame, the participant will be asked to leave the club and not return, no refund for any remaining days will be issued and we will take appropriate action to safeguard the victim.
4.3 L.W.T have a legal obligation to report any sign of child abuse or neglect to our Safeguarding Lead and MASH. Our safeguarding policy is available for you to read should you wish.
5. Medical Information
5.1 Please provide us with information of all relelvent and pre existing medical conditions, dietary restrictions and allergies prior to booking.
5.2 L. W. T will make every effort to ensure that participants do not come into contact with any product that we have been made aware of as being an allergy. If parents / carers can please distinguish between an allergy and intolerance when booking. L. W. T will not accept responsibility for any allergic reactions to products that we have not been made aware of, in writing, prior to the sessions.
5.3 Participants must bring all relevant medication with them to each session, please ensure it is handed to a member of staff at the start of the session, in a bag with the dosage and child's name on a prescription label, we will keep all medicines in a box and keep on our person's throughout the session.
6. Liability and Insurance
6.1 L.W.T accept no responsibility for lost or damaged property, we ask that valuables are not brought to sessions and we do not allow the use of mobile phones by the participants in our sessions.
6.2 Horseplay will not be tolerated and L. W. T accept no responsibility for injuries obtained as a result of Horseplay or injuries obtained as a result of not listening to and following their coaches instructions exactly.
6.3 Please ensue your child's safety by providing them with appropriate medication, clothing, footwear, hydration and food where appropriate.
7. Policies and Procedures
7.1 We have a portfolio with all of our policies and procedures available for parents / carers to view should they wish.
7.2 All team members complete a training log to ensure they are up to date with the policies and procedures and they are safeguarding trained, DBS checked, first aid trained and appropriately qualified.
8. Photography and Social Media
8.1 If you do not wish for your child to be photographed or videoed for promotional content for L.W. T or our associated partners, namely our website and social media, please do make us aware.
8.2 Please be assured that we have a specific device that we use to take photos and videos and under no circumstances will we ever use personal mobiles.
9. Complaints
9.1 We pride ourselves on delivering safe, enjoyable and inclusive sessions and experiences. However all feedback is welcome and we use it to enhance our services.
